By accessing the Authent-Ink website, submitting an order, or using any of our services, the client acknowledges that they have read, understood, and agree to be bound by these Terms of Service. If the client is placing an order on behalf of a company or organization, the client represents that they have the authority to bind that entity to these terms.
Our Services
Authent-Ink records the physical motion of a user's handwriting and associates it with individual text glyphs. When text is processed, each glyph reproduces its corresponding recorded motion, resulting in a physically written, pen-on-paper output. This process does not use fonts or font rendering.
A controlled randomization layer introduces natural variation in pace, pressure, size, alignment, and slant, ensuring machined outputs are virtually indistinguishable from the human hand.

Placing an Order
Authent-Ink reserves the right to reject any order at its discretion, including orders that do not meet our content guidelines or technical requirements. If an order is rejected, the party that placed the order will be notified via the contact information they provided and receive a full refund.
- Minimum order quantity is 2 units per order
- If the client's order includes custom materials we will contact the client using the information they provide to coordinate receiving them before production can begin
Pricing & Payment
All orders are priced individually based on the client's specific requirements. If the client has a discount code, it must be entered before payment is processed for the discount to apply.
- Full payment is required before production begins
- Prices are quoted based on quantity, materials, and service options selected
Rush Orders
- Expedited orders incur an additional fee based on the client's request
- Expedited orders are submitted as quote requests (no payment required at submission)
- If approved, the client will receive a payment link via email
- If not approved, the client will be notified and the request will be archived
- Rejected rush orders cannot be converted to standard orders - the client must place a new order
Custom Materials
During the order process the client will have the option to add custom materials such as custom handwriting, paper, envelopes, inserts, etc. to their campaign. If the client decides to include materials such as these, the client is responsible for providing them and ensuring they meet our production requirements.
Custom Material Requirements
- Width: Min 4" / Max 11"
- Height: Min 6" / Max 16"
- Paper weight: Must not exceed 250 g/m²
- Important: Linen texture, or slippery coated paper may cause production issues as it is tricky to work with
How We Collect Custom Materials
- We will contact the client using the information they provide to coordinate receiving their materials
- The client is responsible for ensuring their contact information is accurate and current
- We will attempt to reach the client at least 3 times
30-Day Policy: If we have attempted to contact the client at least 3 times and have still not received the client's custom materials within 30 days, the client's order will be cancelled and payment will be forfeited. Failed contact attempts due to the client providing inaccurate contact information count toward the 3 attempts.
Handwriting Sessions
- Sessions must be completed in person and take approximately 20 minutes
- Production cannot begin until the client's session is completed
- We guarantee to store the client's handwriting profile for 30 days from capture. If the client's profile is lost or corrupted during this period, we will replace it at no cost
- If the client already has a profile on file from a previous order, they can let us know when we contact them to coordinate their handwriting analysis session - we will use their existing profile and refund the setup fee
- After 30 days, we may delete the client's profile for data management purposes. In the event this happens the client will need to pay for a new session to use their handwriting again
Signatures
- The client may only provide their own signature for capture
- Signatures must be used for ethical and lawful purposes only
- We will not replicate another individual's signature under any circumstances
- The client grants Authent-Ink a license to use their captured signature solely for the production of their order
Personalization & Data Accuracy
Data the Client Provides
- Recipient information (names, addresses) uploaded via spreadsheet
- Merge fields for personalization (e.g., {{FirstName}}, {{LastName}}, {{Company}})
- Unique messages nested in pages of a Word document
- Data mapping and column assignments
Client Responsibilities
- Providing accurate data in the required format
- Mapping data fields correctly during the order process
- Ensuring merge fields match the client's spreadsheet columns
- Verifying addresses for accuracy and deliverability
- Reviewing previews to ensure the order appears as intended before submitting for production
Data validation tools are built into the order form to help prevent errors.
The client is prompted to preview and review their order multiple times throughout the ordering process and given opportunities to restructure their data if necessary.
Authent-Ink is not responsible for errors resulting from incorrect data or content provided by the client.
Production & Shipping
Standard production time is 2-3 business days from payment confirmation.
Delivery Options
- Direct Mailing: We mail each note directly to its intended recipient via USPS
- Bulk Shipping: All completed notes shipped to a single address of the client's choosing
Shipping Methods
- Direct Mailing: Forever stamps are used to mail notes to individual recipients
- Bulk Shipping: Priority Mail is used for bulk shipments
- Expedited Orders: All options are on the table, including everything from freight to same day delivery
Estimated Shipping Times
Shipping times are estimated using USPS zone data from our facility in Palm Beach County, FL.

Delivery times depend on shipping method, destination, and USPS processing. We are not responsible for delays, loss, or damage caused by postal carriers after items leave our facility. Tracking information is provided when available.
Analytics & QR Tracking
How It Works
When the client opts into QR code tracking, each note will include a unique QR code that serves as a digital touchpoint. When scanned by recipients, it allows the client to drive web traffic and track campaign performance.
QR Code Destinations
The client's QR code can link to any of the following endpoints:
- Website: Any webpage
- Phone Call: Call the client's number
- Email: Send the client an email
- Google Review: Leave a review
- Social Media: The client's social profile
- Maps Directions: Get directions to the client
QR Code Placement
QR codes are placed in the footer of each note. If the client's campaign uses custom paper, such as letterhead, the client is responsible for ensuring there is adequate space in the footer to accommodate the QR code.
Client Analytics Dashboard
Users can access their analytics data anytime by going to the analytics page (authent-ink.com > analytics) and entering their campaign ID.
The analytics dashboard displays:
- Scan count and unique visitors (calculated from IP addresses)
- Geographic location of each scan
- Time and date of each scan
- Device/operating system used to interact
Tracking data does not include personally identifiable information.
Analytics Limitations
- Analytics data is available for 60 days from the date the campaign is sent. After this period, data is no longer accessible.
- All scan timestamps are recorded in Eastern Time (ET).
- For campaigns with more than 5,000 scan locations, the map displays a representative sample to maintain performance. The full dataset can be downloaded as a CSV file.
Client Responsibilities
- The client is responsible for providing accurate destination information for their QR codes
- Authent-Ink is not responsible for errors resulting from incorrect destination information provided in the order form
- The client may request to change the QR code destination after placing their order, but changes are not guaranteed depending on the stage of production
- The client is responsible for any disclosures required by applicable privacy laws
QR tracking data is collected through a partnership with Uniqode. Authent-Ink cannot guarantee 100% tracking accuracy. For more information about data collection or how analytics data populates, please consult Uniqode directly.
Refunds & Cancellations
Cancellations
- Orders may be cancelled if the client submits a written cancellation request and Authent-Ink confirms the cancellation before production begins
- Approved cancellations will receive a full refund
- Once production has started, orders cannot be cancelled and are not eligible for a refund
Production Errors
- If we make an error in production, we will reprint at no charge or work with the client to find a way to make it right
- Claims for production errors must be reported within 14 days of delivery
What We Don't Refund
- USPS delivery issues or lost mail
- Recipient non-response or campaign performance
- Errors caused by incorrect data the client provided
Acceptable Use
The client is solely responsible for the content of their messages. Authent-Ink reserves the right to refuse, cancel, or terminate any order containing:
- Illegal, fraudulent, or deceptive content
- Defamatory, threatening, harassing, or abusive material
- Content that violates intellectual property rights of third parties
- Spam, phishing attempts, or misleading marketing claims
- Content promoting illegal activities or regulated products without proper licensing
- Materials intended to impersonate another person or organization
- Requests to replicate another person's signature
- Using their own signature for fraudulent, deceptive, or unlawful purposes
- Content that violates CAN-SPAM Act, TCPA, or other applicable regulations
By placing an order, the client agrees to indemnify Authent-Ink against any claims arising from their message content or its use.
Intellectual Property
All Authent-Ink technology, processes, handwriting library styles, software, and branding are proprietary and protected by intellectual property laws.
The Client May Not
- Reverse engineer, copy, or attempt to replicate our technology
- Use our handwriting library for purposes other than authorized orders
- Remove or alter any proprietary notices from materials we provide
The client retains full ownership of their message content and any custom handwriting or signature they provide. Authent-Ink is granted a limited license to use these materials only for the purpose of producing and delivering the client's order.
Liability Limits
To the maximum extent permitted by law:
- Authent-Ink's total liability is limited to the amount paid for the specific order
- We are not liable for indirect, incidental, consequential, special, or punitive damages
- We are not liable for lost profits, lost business opportunities, or campaign performance
- We are not responsible for recipient response rates or marketing outcomes
- We are not liable for USPS delivery failures, delays, or lost mail
Disputes & Governing Law
These Terms are governed by the laws of the State of Florida, without regard to conflict of law principles. Any disputes arising from these Terms or our services shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association, unless the client opts out within 30 days of their first order.
Changes to Terms
We may update these Terms at any time by posting the revised version on our website. The "Last updated" date will reflect the most recent changes. Continued use of our services after changes are posted constitutes acceptance of the modified Terms.
If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.

What We Collect
We collect several types of information to provide and improve our services:
Information the Client Provides
- Account & Contact Information: Name, email address, phone number, company name, and billing address
- Message Content: The text of notes the client wants us to produce, including personalization fields
- Recipient Data: Names and mailing addresses of individuals who will receive the client's notes
- Custom Handwriting & Signatures: Digital captures of the client's handwriting style and signature
- Payment Information: Credit card and billing details (processed by our third-party payment processor, not stored on our servers)
Information Collected Automatically
- Website Usage Data: Pages visited, time spent, browser type, device information, and IP address
- Cookies: Session identifiers and preferences
Information from QR Code Tracking
When recipients scan QR codes on the client's notes, we collect:
- Scan count and unique visitors (calculated from IP addresses)
- Geographic location of each scan
- Time and date of each scan
- Device/operating system used to interact
This data is associated with the client's Campaign ID and made available through their analytics dashboard.
Information from Public Records
When the client requests to have names and addresses procured for them, we compile recipient information for their campaign from property tax records and property listing records. This information is used solely for the client's authorized mailings.
How We Use Client Data
We use the information we collect for the following purposes:
Order Fulfillment & Communication
- Processing and producing the client's handwritten notes and envelopes
- Applying personalization fields to the client's messages
- Reproducing the client's handwriting style and signature on orders
- Shipping orders to recipients or to the client's specified address
- Sending order confirmations, production updates, and delivery notifications
- Contacting the client regarding their campaign, such as coordinating custom materials or clarifying order details
- Providing the client's Campaign ID for analytics access
- Responding to the client's questions and support requests
Analytics & Improvement
- Providing campaign analytics through the client's dashboard
- Analyzing usage patterns to improve our website and services
- Quality control and error detection
Legal & Compliance
- Complying with applicable laws and regulations
- Enforcing our Terms of Service
- Protecting our rights and the safety of our users
Who We Share With
In certain cases, we may share client information with third parties to fulfill the client's order or meet legal obligations:
Service Providers
- USPS and Shipping Carriers: Recipient addresses for mail delivery
- Payment Processors: Billing information to process transactions securely
- Cloud Hosting Providers: Data storage and processing infrastructure
These providers are contractually obligated to protect client information and use it only for the services they provide to us.
Recipient Data
When the client places an order, they provide us with names and addresses of the people who will receive their mail. We take this responsibility seriously:
- Recipient data is used only to produce and deliver the client's order
- We do not use recipient data for marketing
- We do not sell or share recipient lists with other clients
- The client is responsible for ensuring they have the right to mail each recipient
Legal Requirements
We may share information when required by law, subpoena, or legal process, or to protect our rights, property, or safety.
Business Transfers
If Authent-Ink is involved in a merger, acquisition, or sale of assets, client information may be transferred as part of that transaction. We will notify the client of any such change.
We do not sell client information.
Analytics & QR Tracking
When the client uses QR code tracking, recipients who scan the code consent to data collection at the point of scanning.
Important Considerations
- The client is responsible for including appropriate disclosures if required by applicable privacy laws
- We recommend informing recipients that the mail contains tracking technology
- Tracking data does not include personally identifiable information unless recipients provide it
- Geographic location is approximate (city/region level) based on IP address
Data Security
We take reasonable measures to protect client information:
Access Controls
- Database Security: Customer data is stored in secure, password-protected databases
- Restricted Access: Access is limited to authorized Authent-Ink staff
- Purpose Limitation: Staff may only access data for order fulfillment purposes
Technical Measures
- SSL/TLS Encryption: All data transmitted to and from our website is encrypted
- Encrypted Storage: Sensitive data is encrypted at rest
- Secure Payment Processing: Payments are handled by PCI-compliant processors
While we strive to protect client information, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.
How Long We Keep Data
We aim to retain different types of data for the following periods:
- Order Records: 1 year
- Message Content & Recipient Lists: 1 year
- Custom Handwriting Profiles: Guaranteed for 30 days; may be deleted after
- Campaign Analytics: 60 days from campaign sent
- Account Information: Duration of business relationship plus 1 year
- Website Logs: 90 days
These are target retention timeframes. Due to potential data loss or technical issues, we cannot guarantee data will be available for these full periods.
If the client would like their data deleted, contact us at info@authent-ink.com. We will respond within 30 days.
Client Rights
Depending on the client's location, the client may have the following rights:
- Access: Request a copy of the personal information we hold about the client
- Correction: Request that we correct inaccurate or incomplete information
- Deletion: Request deletion of the client's personal information
- Portability: Request the client's data in a machine-readable format
- Opt-Out: Unsubscribe from marketing communications at any time
California Residents (CCPA)
The client has the right to know what personal information we collect, request deletion, and opt out of any "sale" of data (we do not sell personal information). The client will not be discriminated against for exercising these rights.

Additional Information
Cookies
Our website uses essential cookies (required for basic functionality), analytics cookies (to understand how visitors use our site), and preference cookies (to remember client settings). The client can control cookies through their browser settings.

Children's Privacy

Authent-Ink is based in the United States. If the client accesses our services from outside the US, their information may be transferred to, stored, and processed in the United States. By using our services, the client consents to this transfer.
Policy Updates
We may update this Privacy Policy periodically to reflect changes in our practices or legal requirements. When we make material changes:
- We will update the "Last updated" date at the top of the page
- We may post a notice on our website
The client's continued use of our services after changes are posted constitutes acceptance of the updated policy.
